The office of the Town Clerk is the repository for the maintenance and safekeeping of records for the Town of Eastford.

Housed in the fire-proof vault or in the office of the Town Clerk are all land records, Town Meeting minutes, Town Ordinances, birth/marriage/death records, land surveys, election records, trade names, town reports, veterans discharge filings, Town board/commission/agency agendas and minutes, listings of Notaries Public, Justices of the Peace, and other historical documents.

In addition to maintaining records, the Town Clerk’s Office is the place to go for absentee ballots, copies of vital records, dog licenses, marriage licenses, voter registration forms, etc.

Absentee Voting

Applications for absentee ballots are available from the Town Clerk’s office, can be printed from the link below, and are available on the Secretary of State’s website http://www.ct.gov/sots.  For most voting events, the application form is ED-3.  In the event of a referendum with less than three weeks notice, the correct form is ED-3R.  In filling out the application, please be sure to read the valid reasons for voting absentee in Connecticut.  One of the categories must apply.  Applications may be faxed (860- 974-0624) however, the original application form, bearing the voter’s signature, must be returned with the ballot in order for the vote to be counted.  When a completed application is received, the ballot will be issued immediately, either through the mail to the address the voter indicates, or in person.  Completed ballots must be received before the close of polls on the day of the vote. Land Records

The vault in the Town Clerk’s office contains deeds of sale, mortgages and other records affecting real property in the Town of Eastford dating from incorporation in 1847 to the present. Records prior to 1847 are available in the Town of Ashford. Documents must be either originals or certified copies to be accepted for recording on the Land Records. There is a fee for recording; see the Basic Fee Schedule Link below for details.

Every transfer of ownership must be accompanied by a Connecticut Department of Revenue Services Real Estate Conveyance Tax Return. Blank forms are available from the Town Clerk.

Vital Records

Indexed listings of births, marriages, civil unions, and deaths are in the vault.

Marriage and Death records are available to the public. PLease contact the Town Clerk for issuance or follow the link below.

To request a Certified Copy of a Birth Certificate from Town

For a birth occuring on or after January 1, 2003: You may request a certified copy of the birth certificate from any town vital records office or the State Vital Records Office.

For a birth occurring prior to January 1, 2003: you may request a certified copy of the birth certificate ONLY from the following:

     * The town vital records office of the town where the birth occurred

     * The town of the Mother’s residence at the time of birth

     * The State Vital Records Office

To Obtain a Marriage License: Marriage Licenses must be obtained from the Town Clerk of the town in which the ceremony will occur. Blood tests are no longer required. There is no waiting period; the license is valid immediately. Licenses are valid for 65 days from the date of issuance. Following is the procedure for obtaining a marriage license in most circumstances. There are some instances – for example, when one party is under age – when the procedure may be slightly different.

  • Complete a Marriage License Worksheet with pertinent information. The information provided on the worksheet is used to create the printed license and is maintained by the Town Clerk until the license is returned following the ceremony. The worksheet is available from the Town Clerk or downloading from the Documents list below.
  • Both parties must appear in person, not necessarily together, to sign the license
  • Valid photo identification must be presented.
  • The cost is $50.00 – payable in cash or check payable to the Town Clerk of Eastford.
  • After the ceremony, the original is returned by the officiator to the Town Clerk for permanent filing. Certified copies are available from the Town Clerk for $20.00 each.

Sports Licenses

Sports Licenses are no longer available at the Town Clerk’s Office. To obtain a license on line, please use the Sports Licenses at DEEP link below.

Transfer Station Permits

**Note that the cost has increased in 2021.   Permit cost is now $60 for one or two stickers.  Permits are available for purchase at the Transfer Station during regular open hours in the month of July 2021 except July 4, 24 and 25. You will need to show the registrations for the vehicles that the stickers will be on. Payable by cash or a check made out to the Town of Eastford. If you are new to town and your registration still has an old address on it, you will need to provide proof of residency in Town. (a utility bill addressed to you at your Eastford address for example)

For the remainder of the year permits can be purchased at the Town Hall from either the Town Clerk or the Selectman’s Assistant during regular office hours.

Dog Licenses
Dog licenses may be obtained through the mail or at the Town Clerk’s Office during regular office hours. Please send or bring a copy of your dog’s rabies vaccine certificate and proof of spay/neuter if applicable from your veterinarian and a check made out to the Eastford Town Clerk as well as a self-addressed  stamped envelope if licensing through the mail.

NOTICE TO DOG OWNERS             

LICENSES MUST BE OBTAINED

DURING THE MONTH OF JUNE

Each owner or keeper of a dog of the age of six months or older, except dogs kept under a kennel, shall cause such dog to be licensed in the Town Clerk’s Office in the town where such dog is kept, ON OR BEFORE JUNE 30th ANNUALLY, or at such time as such dog becomes six months old, and annually thereafter, on or before June 30th.

Any owner or keeper applying for a license for a dog shall submit to the town clerk a RABIES CERTIFICATE signed by a veterinarian, or a copy thereof, stating that such dog has been vaccinated against rabies, the date of the vaccination and the duration of the immunity provided by the vaccine. No license shall be issued unless the certificate indicates that the immunity provided by the vaccine is effective at the time of licensing.

Proof of spay or neuter is required in the form of a veterinarian’s certificate.    

Kennel licenses also need to be obtained or renewed in the month of June.

A $1.00 per month penalty will be charged after the month of JUNE.
